Jr. Nationals 2026 Media Services — Coach / Dojo
Waiver and Release Agreement
By signing below, I, as the coach or dojo representative named in this booking, agree to the following terms in connection with the Coach / Dojo Media Service provided by the University of Calgary Martial Arts Club ("UofC Martial Arts") at the Karate Canada Junior National Championships 2026.
1. Media Capture and Use
I consent to UofC Martial Arts and its contracted media providers (Brook and Lens and Macleod Media, and any additional crew brought on through Macleod Media) capturing photographs and video footage of me and my dojo's athletes (where authorized) during the Junior National Championships 2026, including coaching moments, sideline instruction, warm-ups, pep talks, and other coverage relevant to the requested deliverables.
2. Ownership and UofC Use
The captured and edited media is the shared property of UofC Martial Arts, the contracted media providers, and the coach / dojo named in this booking. As part of this service, the coach grants UofC Martial Arts and its contracted media providers the right to use the media for post-event recap content covering Jr. Nationals 2026 — including on social media, in recap videos, and in event coverage published on UofC Martial Arts channels. Any broader use by UofC Martial Arts — including general marketing campaigns and use on its general website outside of Jr. Nationals 2026 recap coverage — is subject to a separate optional consent given at checkout. The coach may decline that broader use without affecting the rest of the service or the rights granted under this section. The coach and their dojo may use the media for any personal or commercial purpose, including on social media, for sponsorship, dojo promotion, NCCP certification submissions, and personal branding.
3. Karate Canada Use
As part of this service, the coach grants Karate Canada the right to use the media for its own coverage, promotion, and content related to the Junior National Championships, including but not limited to social media posts, collaboration posts, and event recap content. The scope of Karate Canada's use is at Karate Canada's sole discretion.
4. Deliverables
UofC Martial Arts commits to delivering the specific package deliverables as described in the purchased package. Video clips will be targeted for delivery within 72 hours of the booked coverage day — we will do our best to meet this timeline, and in some cases clips may be sent the same day directly from the tournament. Photos will be delivered within a few days where possible, and in all cases within one week of the event. These are best-effort targets and not hard guarantees. The Professional Highlight Reel add-on, if purchased, will be delivered within 14 days of the event. Minimum deliverables are guaranteed.
5. Refund Policy
All purchases are final. Refunds will only be issued in the event that UofC Martial Arts and its contracted media team fails to deliver the minimum package deliverables as described. If minimum deliverables are not met, a partial refund will be issued proportional to the portion of deliverables not provided. Creative style, clip selection, music choice, and editing decisions are at the sole discretion of the media team and do not constitute grounds for a refund. Coverage is provided by a coordinated media team across multiple tatamis. While every effort is made to capture all booked coaches and dojo content, simultaneous matches, scheduling overlaps, and tournament flow may result in limited coverage in certain instances. Minimum deliverables remain guaranteed. Missed coverage due to absence, late arrival, schedule changes, or failure to notify the media team of relevant timing does not constitute grounds for a refund, provided reasonable efforts were made. Refund requests must be submitted within 30 days of media delivery.
6. Highlight Reel Revisions
Each delivered highlight reel includes one minor revision at no additional cost (for example, a small timing adjustment or a single clip swap). Additional revisions, major re-edits, or substantial creative changes may be subject to additional fees and/or billed time.
7. Video Format
I acknowledge that all video will be filmed in horizontal (landscape) format to ensure the entire match or coaching moment is captured without anything being cut off. Footage can be cropped down to a vertical format in post without any quality loss.
8. Circumstances Beyond Reasonable Control
I acknowledge that UofC Martial Arts and its contracted media providers are not liable for failures or delays in delivery caused by circumstances beyond their reasonable control, including but not limited to: power outages, venue infrastructure failures, internet or network outages, severe weather, venue access restrictions imposed by Karate Canada or the Edmonton Expo Centre, fire, emergency, pandemic, transport disruption, or any other force majeure event. Where such circumstances prevent delivery of the full package, UofC Martial Arts will work in good faith to deliver what is possible and will issue partial or full refunds where appropriate.
9. Equipment and Technical Failure
I acknowledge that photography and videography involve equipment that may fail, malfunction, or produce corrupted files despite reasonable precautions. This includes but is not limited to camera failure, memory card corruption, battery depletion, storage drive failure, software errors, and data transfer issues. UofC Martial Arts and its contracted media providers maintain reasonable redundancy and backup practices, but are not liable for losses caused by equipment or technical failure that occur despite such practices. If equipment failure results in failure to deliver the package, UofC Martial Arts will issue a proportional refund.
10. Crew Availability
The media service relies on specific contractors and any additional crew activated through Macleod Media. In the event of illness, injury, or emergency affecting a crew member on the day of the event, UofC Martial Arts will make reasonable efforts to arrange replacement coverage, including through the pre-arranged Edmonton-based contractor on standby. Where replacement is not possible and coverage is affected, refunds will be issued proportional to the coverage provided.
11. Scheduling and Bracket Conflicts
I acknowledge that at a multi-ring tournament, simultaneous matches across different rings can create coverage constraints. UofC Martial Arts has designed its crew deployment to handle peak concurrent demand based on registration data and the published draw, but in rare cases involving extreme bracket clustering or late-registration surges, minor coverage gaps may occur. Minimum deliverables remain guaranteed regardless.
12. Athlete Authorization
Where the requested deliverables include footage of athletes from my dojo, I confirm that I have or will obtain appropriate consent from those athletes (and, for minors, their parents or legal guardians) to be filmed and to have their likeness used in the deliverables and in any promotional use of those deliverables.
13. Privacy
Personal information provided at registration will be used solely for the purposes of coordinating media coverage and delivery, and will not be shared with third parties outside of the crew assigned to this service.
